From 20 till 24 March 2017 EGUERMIN (BE-NL Mine Warfare School) will host and facilitate the NATO Geospatial Maritime Working Group Meeting in Oostende, Belgium.

The GMWG meeting sessions will be conducted at the Mess Building of EGUERMIN, 3de en 23ste Linieregimentsplein, 8400 Oostende, Belgium.

The participation is ideally formed by representatives from all NATO nations, including the Chairmen of the subordinate syndicates and panels, key Custodians, representatives of relevant NATO Military Bodies and other NATO entities and interested Partner Nations.  The representatives should be specialists/experts in the field of Maritime Geospatial Domain and prepared to discuss the larger issues involved with the WG’s subject matter.


Dress for the GMWG meeting sessions is military service dress or business casual; for the Ice Breaker (meet & greet)  military service dress or business casual and for the visit to Bruges, the brewery tour and the no-host dinner casual.


Attendees are requested to make their own accommodation arrangements. The cost of accommodation is the responsibility of individual GMWG members. Preferential rates for accommodation have been arranged with various hotels. The Hotel MERCURE, Hotel BERO and Hotel BURLINGTON will provide discount rates if EGUERMIN is referenced at time of booking. However, EGUERMIN will not interfere and cannot be held responsible for any disputes on accommodation. Participants are encouraged to book early to avoid disappointment. Catering and social events:

Lunch is available at the all ranks mess, located in the same building as the meeting venue. Lunches (€ 4,50 pp) are to be paid cash during in-processing. Refreshments, including tea, coffee and light snacks, will be available during the meeting breaks throughout the day. On Monday COB participants are invited for a hosted ice-breaker; on Wednesday a non-hosted visit to Bruges and dinner will be scheduled. The Ice Breaker and refreshments are sponsored by the Belgian and Netherlands Navies. During the registration process participants of the GMWG are requested to subscribe for the various catering and social events.

Parking and transport:

Parking for (rental) cars is available at EGUERMIN. Attendees wishing to park at EGUERMIN must provide their name and license plate number in advance to the Host Nation GMWG 17 coordinator, LtCdr Frank Janssens. This information can also be provided during the registration process.

No group transport between the hotels and the meeting venue has been arranged, since all hotels are within walking distance. For the social event in Bruges, the Belgian Navy will provide the bus transport.


During the registration process participants of the GMWG 17 have to upload a copy of their Passport or Military ID and a copy of their Security Clearance Certificate if they wish to use alternative procedure for security requirements. Otherwise participants require to send the Request For Visit (RfV) documentation using established national procedures.  A standard RfV form has to be completed and returned through your Belgian embassy or attaché to the EGUERMIN Security Officer (see POCs), no later than 15 February 2017.


Check-in registration will be conducted on Monday 20 March from 08.15 – 09.00. There will be a conference fee of approximately 80 € for each participant payable in cash during the check-in registration. The standard fee will cover the costs of administration, guided visit to Bruges and dinner in Bruges. A receipt will be provided on payment.
